Assistant to the VP Of Volunteers/Membership

Attends monthly meetings of the Executive Board and General Membership.  Perform duties of the VP of Volunteers/Membership, in the absence of the VP of Volunteers/Membership, as directed by the President.  Serve in an advisory capacity on certain FFE PTC Committees, as specified by the President.  Assist with Fall Membership Drive (prepares volunteer sign up sheets, membership forms/open volunteer positions flyer for first day of school and/or Back to School Night, obtain an incentive for members, help with maintaining a spreadsheet with member contact information, etc.)  Strive to ensure that the membership goal is met.  Help VP prepare and distribute the FFE PTC links regarding volunteer opportunities (i.e. emails to parents with Sign Up Genius link). Communicates regularly and works cooperatively with the VP of Volunteers/Membership.  Report to VP of Volunteers/Membership and President.

After School Enrichment Chair

Shall be responsible to coordinate, promote and organize signups with several Enrichment programs (Early Engineers, Camp EDMO, Firefly Art, Young Rembrandts, etc.), which are offered after-school at FFE.  Coordinate with program reps and principal to advertise, approve program flyers, schedule specific dates and room locations throughout the year.  Coordinate with reps to offer possible scholarships to students and generate interest for the programs.  Responsible for promoting the event with signs, flyers, PTC newsletter, school marquee, FB and Website entries.  Coordinate with reps to set up information tables and attend Back to School Night and other PTC events in the year.  Complete thank you notes for reps that attend school events.  Update event binder of duties/tasks completed and add suggestions for next year.

Art Docent Chair

Shall be responsible for leading the art docent program for PTC and coordinate with the school district art docent coordinator. Obtain the volunteer training dates from the school district and advertise to potential art docent volunteers at Back to School Night. Coordinate with teachers to recruit art docent volunteers for every classroom.  Lead initial volunteer meetings (prepare agenda, organize and distribute art docent binders from school district). Verify the budget and obtain approval before purchasing supplies.  Make purchases of art supplies throughout the year.

Baking Committee Chair

Send emails out to the baking committee to see who can bake or bring treats PTC meetings, events, fundraisers or staff appreciation day.  Send thank you notes to those who donated within 3-5 days after event.

Book Fair Chair or Co-chairs

Organize and oversee the Book Fair in the Fall.  Verify the event budget and obtain approval before purchasing supplies.  Coordinate with librarian, principal and Scholastic representative to verify/schedule dates.  Request Tool Kit materials 8 weeks prior to school event. Sign up for and attend Book Fair Workshop at Scholastic prior to event (at least one chair should attend).  Responsible for promoting the event with signs, flyers, PTC newsletter, school marquee, FB and Website entries.  Lead volunteer committee meetings and assign tasks.  Work with VP of Volunteers/Membership to create a Sign-Up Genius and complete thank you notes for your event.  Give an update at General Meeting for your event month.  Complete daily money counts with PTC cash verification sheet and run daily book fair register reports.  Work with Treasurer to coordinate monetary tasks (daily counts, invoices, etc.).

Box Tops for Education Chair

Oversee, organize, prepare, and collect Box Tops for submission for the Box Tops program (typically, 2X per school year).  Verify the event budget and obtain approval before purchasing supplies.  Coordinate with principal regarding school contest dates throughout the year.  Responsible for promoting the event with signs, flyers, PTC newsletter, school marquee, FB and Website entries.

Dance-A-Thon Event Chair or Co-chairs

​This is our top fundraiser. Responsible to coordinate, organize, promote (signs, flyers, PTC newsletter, school marquee, website and FB entries) and attend the event in the fall.  Verify the event budget and obtain approval before purchasing supplies.  Organize volunteers – Work with VP of Volunteers/Membership to create a Sign-Up Genius for your event.  Lead volunteer meetings (prepare agenda) and delegate tasks such as but not limited to obtaining donated items like water bottles and prizes, ordering and distributing t-shirts.  Coordinates and participates in preparing the donation letters, approved flyers, donation and collection envelopes.  As the event approaches, responsible for the daily gathering and counting the money in the student donation envelopes.  Organize student and business donations, t-shirt orders, etc. on several spreadsheets.  All t-shirt invoices to be sent to the Treasurer to ensure payment to the vendor.  Complete daily or weekly money counts with PTC cash verification sheet.   First money count with co-chairs and 2 additional people.  On the day of, co-chairs need to stay at the event.  Tally lap counts after event.  Complete thank you notes for the event.  Give an update at General Meeting for your event month.

Dine Out Chair or Co-chairs

Coordinate with local restaurants, promotes and attends events on a monthly basis.  Responsible for promoting the event with signs, flyers, PTC newsletter, school marquee, FB and Website entries.  Verify the event budget and obtain approval before purchasing supplies.  Make multiple signs, sticker reminders, copy restaurant flyers to be distributed prior to the event. Responsible to follow up with restaurant within one week after the dine-out to find out when we should expect the check to arrive or make arrangements to pick up check.

Escrip Chair

Organize and oversee the Escrip program.  Continue FFE’s relationship with Shoparoo and Amazon Smile.  Establish and manage additional Escrip programs throughout the year.  Shall be responsible for creating and distributing flyers explaining and/or promoting the program to the parents and teachers, and adding new members during PTC events throughout the year.

Facebook Chair

​Responsible for the Fiddyment Farm PTC Facebook page.  Verify and promote specific dates for PTC Events/Fundraisers.  Monitor the page on a routine basis. The FB page will be maintained and managed by the Chair, so that messages may be properly routed to PTC officers and members.

Father-Daughter Dance Chair or Co-chairs

Responsible to coordinate, organize, promote (signs, flyers, PTC newsletter, school marquee, FB and website entries) and attend the dance in the winter or spring.  Verify the event budget and obtain approval before purchasing supplies. Lead volunteer committee meetings and assign tasks.  Give an update at General Meeting for your event month.  Organize and gather registration forms, prepare spreadsheets, perform weekly money counts with PTC cash verification sheet.  Complete thank you notes for the event.

Mother-Son Event Chair or Co-chairs

Responsible to coordinate, organize, promote (signs, flyers, PTC Newsletter, school marquee, school calendar, FB and website entries) and attend the event in April.  Verify the event budget and obtain approval before purchasing supplies.  Work with VP of Volunteers/Membership to create a Sign-Up Genius for your event.  Lead volunteer committee meetings.  Organize and gather registration forms, prepare spreadsheets, perform weekly money counts with PTC cash verification sheet.

Popcorn Friday Chair or Co-chairs

​On 1 Friday per month beginning in September, make and sell popcorn in the courtyard.  Responsible to coordinate, organize, promote (signs, flyers, PTC Newsletter, school marquee, school calendar, FB and website entries if needed).  Verify the event budget and obtain approval before purchasing supplies.  Popping takes 2-3 people beginning at noon.  Make purchases for popcorn, bags, etc. and prepare PTC reimbursement form as needed.  Sell to afternoon TK and K at afternoon dismissal at 2:00 pm and Grades 1-5 at 3:13 pm.  Complete a money count after each monthly sale with PTC cash verification sheet and prepare change for the next month.  Oversee Popcorn volunteers for additional PTC Events such as Book Fair and Game Night.  Complete thank you notes for the event.

PTC Newsletter Chair

Communicates with, requests, organizes and collects newsletter entries from PTC Executive Board members and chairs on a pre-set schedule (establishes this schedule with the President in August/September).  Sends out reminders to send in newsletter entries for monthly PTC Events/Fundraisers.  Reviews the contents of the PTC newsletter with the President before sending to principal.  Prepares PTC newsletter with a maximum of two attachments and submits the completed newsletter to president by Friday at 9am.

Room Parent Chair

Responsible to recruit and gather room parent contact information, hold an initial room parent meeting in September/October (prepare approved agenda to explain expectations and limits from principal and teachers).  Prepare a flyer for Back to School Night to recruit room parents.  Coordinate with principal and maintain a spreadsheet with each classroom’s room parent and email.  Assist with Staff/Teacher Appreciation (as needed) and help coordinate room parent participation for each class.

Skate Night Chair or Co-chair

​Coordinates a fall and spring Skate Night at Roller King.  Contact Roller King, schedule date (coordinate with principal), sign contract and get check to Treasurer. Verify the event budget and obtain approval before purchasing supplies.  Purchase supplies to promote event such as glow necklaces and items for a raffle for teachers and students.  Promote events with signs, flyers, PTC newsletter, school marquee, school calendar, website and FB entries.  If needed, organize volunteers – Work with VP of Volunteers/Membership to create a Sign-Up Genius for your event.   Give an update at General Meeting for your event month.

Spirit Wear Chair or Co-chair

Takes an inventory at the beginning and end of the year of all spirit wear items (maintains a spreadsheet).  Verify the budget and obtain approval before purchasing Spirit Wear.  Coordinates with President and Treasurer to place order over the summer to sell at Back to School Night.  Oversee the process of special orders in the fall by updating order form (see example from last year), collect, tabulate, place the order with No Dinx and distribute.  Forward all invoices to Treasurer to ensure payment to vendor.  Sell spirit wear at PTC Events/Fundraisers throughout the year (as needed).  Promote sales and orders with signs, flyers, PTC newsletter, FB and website entries.  Count spirit wear money with the Treasurer and President throughout the year with the PTC cash verification sheet.  Work with VP of Volunteers/Membership to create a Sign-Up Genius to recruit volunteers if needed.

Staff/Teacher Appreciation Chair or Co-chairs

Coordinate with principal and President to organize staff/teacher appreciation events for the First Day of School, a designated week in the Fall (usually Parent/Teacher conference week) and national staff/teacher appreciation week in the Spring.   Verify the event budget and obtain approval before purchasing supplies.  Decorate the staff room and organize volunteers to bring in donations of low cost, non-monetary gestures, food or drinks for the FFE staff.  Also, help promote (signs, flyers, PTC newsletter, FB and website entries, as needed) for each event.  Coordinate with Room Parent Chair as needed.  These events have lots of parent involvement, we simply need a point of contact to oversee it!  Complete thank you notes to parents who donated items throughout the week.  Work with VP of Volunteers/Membership to create a Sign-Up Genius for your event.  Complete thank you notes for the event.

Website Chair

Responsible for and updating the Fiddyment Farm PTC website.  PTC will be responsible for domain name registration finances.  Contents will be determined and controlled by PTC officers. The website email address will be maintained and managed by the Chair, so that messages may be properly routed to PTC officers and members.  Update and manage the Google Calendar on the website.  Prepare electronic flyers for PTC Events/Fundraisers and post on the website.  Give an update (as needed) at General Meeting.
